Are you an organised, proactive, and detail-oriented Virtual Assistant who enjoys administration, client coordination, and keeping things running smoothly behind the scenes?

We are seeking a sharp, detail-oriented Virtual Assistant to directly support an Australian Client who operates two thriving brands in the financial and compliance sectors. If you are a master of organization, comfortable wearing a few different hats, and love keeping things running smoothly behind the scenes, this is the perfect role for you!

What We’re Looking For

  • At least 1 year of experience as a General VA with background in bookkeeping, admin assistant, or accounts assistant.
  • Preferred degree in Accounting or Finance
  • Strong written & verbal English skills
  • High proficiency with MS Outlook (and the MS Office suite)
  • Practical experience navigating Xero for basic invoice preparation. (preferred but not required)
  • Highly organised with excellent attention to detail
  • Experience with calendar and email management
  • Reliable, proactive, and able to work independently
  • Comfortable working and communicating through Teams

What You’ll Be Doing (Key Responsibilities)

  • Monitor and organize separate email inboxes across two businesses via Outlook.
  • Route incoming messages, highlight urgent items, and delegate to lead bookkeepers.
  • Systematically file and archive emails using established folder structures.
  • Handle backend onboarding steps, request documents, and track progress in Asana.
  • Send and follow up on client agreements and verifications via eSignature.
  • Coordinate the client’s schedule and handle appointment adjustments in Outlook.
  • Liaise with external parties to book meetings and prevent scheduling conflicts.
  • Prepare standard regulatory templates and securely save signed forms in SharePoint.
  • Draft and distribute basic employment contracts using existing company templates.
  • Distribute approved invoices, track payment statuses, and flag overdue client accounts through Xero.
